Getting Started in the Production Schedule

Simplify your writing process with the Production Schedule tool in Organized Authors. This tool is designed to help you manage events and tasks efficiently at every stage of your writing process, such as setting writing deadlines, scheduling editing passes, proofreading, audiobook production, final upload date, meetings, social media posts, newsletter announcements, blog posts, writing days and much much more. In addition, track your word counts and set word count goals so you never miss a deadline! Stay organized, collaborate effectively, and free up your creative time. In this guide, we'll show you how to kickstart your Production Schedule! 


Step 1: Accessing the Production Schedule


  • Go to the Production Schedule tool on your dashboard.
  • Choose your preferred view, like daily, weekly, monthly, yearly, or the list view.
  • Click the "Create" button in the upper right corner.

Step 2: Creating an Event


  • Name your event.
  • Describe its purpose.
  • Add team members as "assignees" if they're involved.
  • Update the event status (not started, in progress, or completed).
  • Pick an event type from the dropdown menu, you can add additional event types by using the Manage Event types button! 
  • Set start and end dates and times, or go for an all-day event.
  • Click "Create."

Step 3: Relate Tasks to Events

  • Either create a new event or click into the edit editor of a previously created event
  • Select the Add Task button
  • Name your task, and assign the task to a team member if necessary
  • Edit the date and time that you need that task completed and create more tasks if need be!

Step 4: Creating Tasks from Calendar Views


Alternatively, create tasks directly from the calendar views by clicking on a specific day or time.


Step 5: Viewing Your Production Schedule


  • The "Day" tab shows tasks for a single day with their times.
  • The "Week" tab displays all tasks for the current week.
  • The "Month" tab offers a monthly overview.
  • The "Year" tab gives you a bird's-eye view of the whole year.
  • The "Agenda" tab lists tasks and times for the next few days.
  • The "List View" shows all upcoming tasks with scheduled dates.

In addition, your upcoming tasks will populate in your Organized Authors dashboard so you can view anything coming up that day, or the next several days at a glance! 


Step 6: Automated Event Types


Keep in mind, that when you create a new title and add a release date, it will automatically appear in your Production Schedule. You can add additional writing deadlines surrounding that release date at your leisure. 


Similarly, when you create a social media post or an advertisement using our Social Media or Ad Manager, these will also populate in your Production Schedule.


Tracking Your Word Count:


  • Begin by accessing the "Wordcounts" box on the Organized Authors dashboard.
  • Click on the plus sign (+) in the Wordcounts box to input the number of words you've written on a given day.
  • Additionally, add the title of the work you're logging.
  • Click "Add" to save your word count for the day.
  • To gain further insights into your progress, click the "See All" button within the box. This will allow you to view your current writing streak, compare your progress to your goals, and access more information.

Setting Word Count Goals:


  • To establish word count goals, navigate to your author settings.
  • Select "Goals and Targets" from the menu.
  • Here, you can specify your workdays, making sure your writing schedule aligns with your availability.
  • Make any necessary adjustments based on your objectives, whether it's meeting deadlines or maintaining a consistent writing pace.
  • Define how you want to approach your work-in-progress (WIP) by choosing the number of words you aim to write over a specific time frame.

  • The ability to set a final goal word count in the word count tracker, so you can work against your goal
  • The ability to duplicate events and related tasks so you don't have to recreate common workflows for things like new releases
